How do I invite staff to my event?

Staff are invited per event from the Staff and POS section. Each person gets their own access to the Organizer app, scoped to that event only.


You're already on the list


Open Staff and POS and you'll see yourself there, added automatically with full permissions.


Sending an invite


Choose invite staff, then enter their name, their email, a role label, an access level and access start date.


Do this in advance. An invite sent while people are arriving is an invite nobody reads.


Role label versus access level


Two different things, and the distinction matters.


Role label is descriptive. Door, bar, coat check, whatever helps you keep track. It doesn't control anything, and several people can share the same one.


Access level is the real permission, and there are three: check-in only, Tap to Pay only, or both. Someone working the door doesn't necessarily need to take payments, unless they're also selling tickets there. Give people what the job actually requires.


When their access works


You choose when it opens, either immediately or a set number of hours before your event starts. It closes automatically 30 minutes after your scheduled end time.


Access is scoped to one event. Staff at three of your events need inviting to each one.


Setting up what you're selling


The Sales and POS tab is where you add items with fixed prices, so nobody's typing prices with a queue in front of them. Drinks, merchandise, coat check, door admission.


There's also a tip prompt you can switch on or off. Worth knowing: it works with or without an inventory. Even if you never add a single item and your staff only take custom amounts, the tip prompt still appears.


Changing or removing someone


Edit a staff member to change their access level, or remove them entirely. Removing takes effect immediately and cuts off app access straight away.


If someone leaves mid-event, or a phone goes missing, removing them is the fix.


Who can manage staff


Only you. Staff can't invite other staff.


Before doors open


Check that everyone has actually installed the app and can get in. The most common problem by far is someone discovering at the entrance that they never opened the invite.
