I was invited to work an event. How do I get in?

Someone invited you to help run their event on Gaytherings. Here's how to be ready before you turn up.


Get the app


Search for Gaytherings Organizer on the App Store or Google Play. It's free, on iPhone and Android.


Do this at home, not at the venue. Downloading an app on venue wifi with people waiting is a bad few minutes.


Find your invite


Check the email address the organizer used. If you can't find it, search for Gaytherings and check spam. If it's genuinely not there, ask the organizer to resend it, since they can do that from their end in a few seconds.


Sign in


Open the invitation email and find the "Open in organizer app" button. Tapping it opens the app and signs you in automatically.


If you don't have the app yet, that button sends you to the App Store or Google Play. Once it's installed, go back to the email and tap the button again.


If it doesn't sign you in for any reason, the email also has a backup code you can enter manually on the app's first screen. Lost the email entirely? Your organizer can read your code from Staff and POS in their event settings.


You don't need a Gaytherings account and you won't be asked to make one.


Your access is for one event


If you're working several, you'll get a separate invite and code for each.


Access opens at the time the organizer set, either straight away or a set number of hours before the event starts. It closes automatically 30 minutes after the scheduled end time.


Before your window opens, you can sign in but you won't be able to do anything yet. That's normal, nothing is broken or stuck.


What you'll be able to do


Depends on what the organizer gave you: checking people in, taking payments, or both. If something you expected isn't there, the organizer can change your access level.


Set up before doors either way.


Check-in keeps working offline. Losing signal mid-event won't stop you scanning. What it does stop is syncing, so if someone else is scanning on another phone, or a ticket gets bought while you're offline, your app won't know until it reconnects. Getting a connection now and then is enough to catch it up.


Tap to Pay needs a connection. Payments don't work offline at all. If the signal is bad where you're standing, tell the organizer before people start arriving rather than during.


If something goes wrong


Ask the organizer first. They can resend your invite, change what you can do, and fix most things on the spot. They know the event and we don't.
