What is the Gaytherings Organizer app?

The Organizer app is what you and your staff use at the event itself: checking people in, and selling at the door. Everything else, creating events, orders, finances, campaigns, lives on the organizer platform in your browser.


Where to get it


Search for Gaytherings Organizer on the App Store or Google Play. It's free, and it works on iPhone and Android.


Signing in


Organizers sign in with the email on their organizer account, using a one-time code like everywhere else.


Staff don't have accounts. They're invited per event and get their own access, which opens at the time you choose and closes 30 minutes after your scheduled end time. You can revoke it at any point.


Checking people in


Scan the QR code on a ticket and the app confirms it instantly. Each code works once, so a second scan tells you it's already been used, which is what stops a forwarded screenshot getting two people in.


You also get the full guest list, split into checked in and waiting. Anyone on the waiting list can be checked in straight from their page, no camera needed. That's often the fastest route for a dead phone or a lost email.


Check-in keeps working without a connection. It just won't sync with other phones until you're back online.


Selling at the door


Tap to Pay takes card payments on the phone itself, no reader and no extra hardware. Attendees tap a contactless card or their own phone.


Sell door admission, tickets, bar items, merchandise, coat check, or a custom amount. Preset items are configured on the organizer platform beforehand, which is much faster than typing prices with a queue in front of you.


Door sales carry a flat fee of 2.9% plus 30¢ per transaction. No subscription, no hardware cost, nothing else on top.


That fee always comes out of your side. Unlike online sales, there's no option to pass it to the attendee, so the amount you set is exactly what gets charged and the fee is deducted from it. Price your items with that in mind, particularly cheap ones, where 30¢ on a $3 item is a tenth of the sale.


Unlike check-in, payments need a connection.


Staff and access levels


Each staff member gets one of three access levels: check-in only, Tap to Pay only, or both. Someone on the door doesn't need to take payments, and someone on the bar doesn't need to scan tickets.


You can also give them a role label, which is just for your own organization and doesn't change what they can do.


What it doesn't do


Creating and editing events, refunds, payouts, email campaigns, and reporting are all on the organizer platform. The app is deliberately narrow: it's built for someone standing at a door with one hand free.


Before your event


Install and sign in on every phone that'll be used. Invite your staff and set access levels ahead of time, since an invite sent while people are arriving is an invite nobody reads. Open the sell page on each phone once, because the first time it provisions for card payments and that takes a minute or two.


And check the venue's signal. Check-in will cope without it, Tap to Pay won't.
